Lessons and coaching

Add your coaches with their own working hours and time off, and lesson times only appear when a coach is genuinely free. Customers pick a coach or leave it to whoever is available, and the bay is sorted behind the scenes.

Optional booking fee at checkout

Every venue starts with customers paying exactly the price on the grid, and the cost of taking the payment coming out of it. Turn on a checkout fee instead and a small booking fee is added at checkout, worked out from the amount being paid.

Outstanding balances and deposits

The questions we get asked most about our booking software for golf and activity venues.

Does BookMyBays work with TrackMan, Foresight, GSPro or Uneekor?

Yes, if the sim runs on Windows. The Agent sits on the sim PC and holds a lock screen over it, then clears it when the booking starts. It never opens, closes or talks to TrackMan Performance Studio, Foresight FSX, GSPro, Uneekor or anything else, so whatever you run is fine. We don't touch the launch monitor either.

Can customers book without creating an account?

Yes. They pick a slot, pay, and get a confirmation email with a magic link. The magic link lets them manage the booking later. No password, no signup form.

Do you take a cut of each booking?

Not on bookings. Stripe sends that money straight to your account, we never see it. Two things are different: membership payments and event ticket sales carry a 1% fee, because we run the recurring billing and the ticketing on top of Stripe. Everything else is 0%.

Can I add a booking fee, or do customers pay exactly the price shown?

That is your call, and it starts off as the price shown. Leave it alone and customers pay exactly what is on the grid, with the cost of taking the payment coming out of your booking price. Or switch on a checkout fee and a small booking fee is added at checkout instead, worked out from the amount being paid. Customers see it on its own line from the first price they are shown, you set the smallest and largest booking it applies to, and free bookings stay free.

How does the simulator unlock actually work?

Install the BookMyBays Agent on the PC running your sim. Pair it to a bay using a code from the dashboard. From then on the machine sits behind a lock screen, which clears when a booking starts and comes back when the session ends. That's it.

Can I offer membership plans to my customers?

Yes. Build plans in the dashboard, monthly subs, credit bundles or time-limited passes. They appear on your booking page. Stripe handles the billing. Members manage themselves, including pausing and resuming. There's a 1% fee on membership payments. Bookings stay fee-free.

Can I run leagues, tournaments and other ticketed events?

Yes. Events let you sell tickets to leagues, tournaments, socials and coaching classes. Add the dates the event runs on and one ticket covers the whole series, so an 8-week league is a single purchase. You can set capacity, per-customer limits, a sales window, members-only access and member pricing, and reserve the bays so nobody books over the top. Events appear on your booking page, and on the night you get a live attendee list with one-tap check-in. Event ticket sales carry a 1% fee.

Can I sell gift cards?

Yes. Create gift cards at the amounts you choose, optionally with bonus credit. Customers buy them straight from your booking page with no account needed, choose a design and add a personal message, and they're delivered by email. The balance is redeemed automatically at checkout when they book.

Can I offer lessons and coaching?

Yes. Add your coaches with their own working hours and time off, then create lesson types and choose who teaches them. Customers get a simple 'Book a lesson' option. They pick a time (and a coach, if you've more than one) and we only show slots when a coach is genuinely free. You choose whether the coach's fee is added to the price or kept as an internal cost.

Can multiple staff members have access?

Yes. Invite by email, set them as managers. Managers see bookings, bays and customers. They can't touch billing or venue settings, that's owner-only. Revoke their access whenever you want.

Can I book things other than golf simulators?

Yes. The booking engine doesn't care what the resource is. Venues use it for dart boards, pool tables, putting greens, escape rooms, lesson slots, function rooms. Each resource type has its own slot lengths, prices and hours. The Agent only kicks in for things that need locking.

Can I take bookings on my own domain?

Does BookMyBays work outside the UK?

Yes. The product works anywhere, and venues can charge their customers in their own currency, including euros, dollars and Canadian dollars as well as pounds. Our own subscription is billed in GBP. Support runs on UK business hours, which is worth knowing if you are in a very different time zone.

What happens when my free trial ends?

After 30 days we ask for card details to keep the account going. No lock-in. Cancel from settings whenever. We send a couple of reminders before anything bills.
